Every CertiCerts certificate and wallet card carries a QR code. Scan it with any phone camera — no app needed — to open a verification page showing the worker, the training, the dates, the status, and a unique authenticity code that only the issuing copy of CertiCerts can produce.

Verification works fully offline: the record travels inside the QR itself with a SHA‑256 authenticity code, so an auditor can confirm a certificate even with no internet connection.

CertiCerts is built local‑first. This policy explains what we do and don't collect.

Where your workforce data is stored

With Desktop Pro or the free trial, your employee and training records stay on your own computer. With a Solo, Pro or Compliance plan, or the Sync add-on, those records are also stored on our cloud service (Supabase, in the United States) so your team can work from them. We use them only to provide the service. Card emails, live cards, printed cards with a QR that stays current, and photo requests also send the details they need through our online service. To secure a QR code, the app sends us only a fingerprint of the certificate, never the names, courses or dates in it, and, with Desktop Pro or certificate packs, the company name you choose to issue under.

Extra features on the Compliance plan

• Online checks: when someone checks a certificate online, we record which certificate, its status, the time, and the rough location (country and region). We don't record their IP address or who they are. These records are kept for 2 years and only the team can see them.
• Client portal and monthly reports: a team can share names, courses, dates and status with a company it trains, through a private link or a monthly email. The team decides which companies get them, and anyone receiving the report can unsubscribe.
• Phone photos: a photo of a training card sent from a phone, by a worker from their live card or by your team when scanning, is held by our online service for up to 30 days, until the team collects it.
• Certificate reader: photos and PDFs are read on your own computer, not on our servers.

What we collect

• Account & purchase data (only if you create an account or buy a licence): your name, email, and licence/entitlement status.
• Payment data is processed by Stripe Inc. — we never see or store full card numbers.
• Contact details you choose to send us through a form on this site (your email, and optionally your company and message) — used only to reply and follow up about CertiCerts. Email us to have them deleted.
• Website analytics — Google Analytics and Cloudflare Web Analytics record page views, downloads and button clicks (including when a checkout is started) so we can see how the site is used. Google Analytics uses cookies.

What we don't do

We don't sell your data. We don't access the worker or client records on your device. A certificate's QR carries only the information you chose to put on that certificate.

PIPEDA

We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). You can request access to, correction of, or deletion of your account data by emailing us.

1. Licence

Desktop Pro is a perpetual licence to use the application on your devices per your plan's seat count. Subscriptions (Solo / Pro / Compliance) grant use while the subscription is active. You may not resell or redistribute CertiCerts except under a written white‑label / Compliance agreement.

2. Free trial

CertiCerts ships as a free trial (2 certificates + 2 wallet cards) with the full design tools, so you can evaluate it before buying.

3. Payments & renewals

Prices are in CAD and processed by Stripe. Subscriptions auto‑renew until cancelled. Applicable taxes are added at checkout based on your location.

4. Refunds

Desktop Pro — 14 days or 6 issued, whichever comes first. You may request a full refund of Desktop Pro while both of the following are true: it has been 14 days or fewer since your purchase, and you have issued fewer than 6 certificates and wallet cards combined since purchasing. The refund window closes the moment either limit is reached — the 15th day, or your 6th issued certificate/card — whichever comes first. You can check your eligibility and request a refund any time inside the app (the ★ Pro badge → Request a refund), or email support@certicerts.com.

Subscriptions can be cancelled anytime; the current billing period is not pro‑rated. Certificate Packs are non‑refundable once any credit from the pack has been used.

5. Your responsibility

You are responsible for the accuracy of the training records and certificates you create. CertiCerts is a tool to record and present training — it is not a certifying body and is not a substitute for your legal, safety or regulatory obligations.

6. Warranty & liability

The software is provided "as is", without warranties of any kind. To the extent permitted by law, our total liability is limited to the amount you paid, and we are not liable for indirect or consequential damages.

7. Changes

We may update these terms; continued use after an update means you accept the revised terms.
